How PRCD handles personal information.
This policy explains how PRCD Pty Ltd collects, uses, stores and responds to requests about personal information.

Scope and commitment
This policy applies to personal information handled by PRCD Pty Ltd in connection with this website, enquiries and ordinary business dealings.
PRCD aims to handle personal information consistently with applicable Australian privacy requirements. The policy will be reviewed when analytics are introduced, providers change or information-handling practices otherwise change.

Information PRCD may collect
Depending on how a person deals with PRCD, this may include:
- name, position, organisation and contact details
- project, tender, supplier or general enquiry information
- site, location, enquiry type and project description submitted through the Contact page
- PDF, Word, Excel or DWG files attached to an online enquiry
- correspondence and records of discussions
- employment history, qualifications and other information sent with a careers enquiry
- billing, contracting or business-administration information
- technical website records such as an IP address, browser type, requested page, time and diagnostic or security information processed by the hosting environment
The website does not ask visitors to create an account. The Contact page uses a security session to protect online enquiry submissions.

How information is collected
PRCD usually collects information directly when a person uses the Contact page form, calls, emails, sends documents, attends a meeting or otherwise deals with the company. Relevant information may also be received through a client, contractor, supplier, referee, publicly available source or another person involved in a business matter.
Website hosting and security systems may create technical records when the site is visited. A keyed form of the submitting IP address is held in a short-term rate-limit table for up to two days. PRCD does not retain the raw IP address with the enquiry record.

Cookies and website preferences
The website uses an essential session cookie on the Contact page for CSRF protection and an essential preference cookie when a visitor saves their privacy choice. These cookies are not used for advertising.
PRCD does not currently run website analytics. A site-wide preference system is in place so optional analytics remain off unless they are introduced and the visitor has agreed to them. Privacy choices can be reopened from the footer.

Why information is handled
PRCD may use personal information to:
- respond to enquiries and communicate about proposed or current work
- assess scopes, tenders, suppliers, subcontractors and employment enquiries
- prepare proposals, administer contracts and maintain business records
- manage safety, quality, environmental and project requirements
- operate, protect and troubleshoot the website and business systems
- meet legal, regulatory, insurance and professional obligations
PRCD does not sell personal information.

Disclosure and service providers
Information may be disclosed where reasonably required to PRCD personnel, clients, project participants, suppliers, subcontractors, professional advisers, insurers and providers supporting email, hosting, communications, records or other business systems. Online enquiries are stored in MySQL and notification emails are sent through Microsoft 365 and Microsoft Graph.
Information may also be disclosed where authorised or required by law, or where necessary to address a serious safety, security or legal issue.
PRCD does not intentionally disclose personal information overseas as part of the current website. Some hosting, email or cloud providers may process information using infrastructure outside Australia. Details can depend on the provider and service involved.

Storage, security and retention
PRCD uses administrative and technical controls intended to protect personal information from loss, misuse and unauthorised access, modification or disclosure. No internet transmission or storage system can be guaranteed to be completely secure.
Website enquiries and attachments are retained as business records without a fixed automatic deletion date. PRCD will review retained information and take reasonable steps to delete or de-identify personal information that is no longer needed for a permitted business or legal purpose.

Access and correction
A person may ask PRCD to provide access to personal information held about them or to correct information they believe is inaccurate, out of date, incomplete or misleading.
Send the request to info@prcd.com.au. PRCD may need to confirm identity and understand the information requested before responding. If access or correction cannot be provided, PRCD will explain the reason where appropriate.

PRCD will review the issue, may ask for further information and will communicate the outcome. A person may also seek information from the Office of the Australian Information Commissioner.

PRCD may update this policy as its website, systems, providers or legal obligations change. The current version and update date will remain available on this page.
